Payment is respectfully requested before or at the beginning of each session, this includes your initial appointment.
Cancellations can be made up to 72 hours before a scheduled appointment
Sessions cancelled within 72 hrs will be subject to full payment.
Payment accepted by Debit/Credit Card or Direct Bank Transfer (details provided on request of this payment type).
Invoices can be provided on request.
With last nights announcement (04/01/2021) of the recent Covid-19/Coronavirus updates, we will still be offering face to face, online and telephone sessions.
We are still strictly adhering to the guidance/guidelines set out by the government in order to continue face to face working in the safest way possible.
This includes sterilising all furniture, doors/handles, stair banisters and any tools used during sessions. Windows will be open slightly to allow air circulation.
There is sealed water and tissues with hospital grade hand sanitiser available in the room.
Face coverings are and can be worn during sessions unless exempt
For GDPR requirements, this policy refers to written documents, hard copy client notes, database entries, Emails, text messages, cloud based client date storage, visits to the website, social media communication, reviews and appointment updates/reminders through text and or email.
Data is collected for the sole purpose of providing an appropriate service for the individual; Legally termed as ‘Legitimate Interests’.
Personal information is provided by you for referral and commencement of the service only.
A cloud based system with similar encryptions used by banks for security of data, which is used to store all personal information and any client notes (bacpac), I am the data processor for any and all printed/written paperwork. Hard copies of any personal information are stored in a locked container, behind a locked door, with all stored information required to be retained for 5 years.
Emails are processed by Microsoft and are therefore subject to their privacy policies. It is recommended that no sensitive information be shared via Email.
Phone calls are not recorded; however, text messages and voicemail may be stored for up to 90 days. I may use your phone number to return your call, as per standard business practice.
Unless otherwise advised by clients, email addresses and or telephone numbers will only be used to update client appointments and or send reminders for client appointments.
All electronic devices which hold personal data are password protected and stored securely.
A Cookies tool is in use on the website (toadcounselling.co.uk). McAfee Secure and Google Analytics are used to monitor the website’s performance, but all information received is non-identifiable.
No personal/sensitive data will be shared with any 3rd party without the clients’ explicit consent. (Subject to legal requirements)
On occasion, I may ask permission for client feedback to be used for marketing purposes. In this event, all data can be anonymised on request.
In the unlikely event of a data breach, I will comply with GDPR regulations regarding reporting and action taken.
To ensure uninterrupted client privacy in the event of death or an inability to continue in my role, my clinical supervisor will assume data processing responsibility.
